I wonder if anyone has some good workflow solutions to this task?

We do postal fulfilment for a Gift Voucher company and this can be anything from 10-150 per day.

Here's what we do at the moment:-

      • We get sent an email from the automated gift voucher system. The email is formatted (in HTML as far as I'm aware) using styles and pictures so that the customer can print it off themselves if they choose.

      • If the voucher is to be sent in the post, we have to copy and paste each line into one of the 150 templates we have on the system. We've set up styles, etc., in InDesign to cope with this, although this is probably another task we need to look at too.

      • We then export as a PDF into our print workflow.

You can tell that this is a time-consuming job to do manually, so if anyone's got any ideas about how to streamline, I'd be grateful.

This is one of the reasons people use InDesign Server, or a scripted automation built by a developer. You might want to talk with the folks at PrintUI.com or SiliconPublishing.com or Rorohiko.com, for example.

sounds like the OP is after a “web-to-print” solution.

many on the market, but certainly not free. google the term web2print, W2P, or web-to-print for a list of the providers.
