    I might be doing the layout of a monthly newspaper that will have display ads that repeat from month to month. They're going to be mostly jpegs and PDFs, from what I can tell. Right now they seem to keep everything in a folder for that particular month's issue, and for ads that repeat they go to the first month's folder where it first appeared. I'll be using CS3 for Windows, working remotely on the publisher's computer via “Go To My PC.”

    I like the idea of a library so that info could be entered into the description, like “Run in May/June/July 2010 issues.” But I'm a bit confused as to the linked aspect of library items. Are they linked to the publication where they were first used? or are they linked to the original file's location? If an ad changes from one month to the next, but retains its file name, will the library know that it's been updated?

    (On a side note, I'm recommending that the publisher upgrade to CS5. Would love to have access to those “span columns” and “balance columns” features when laying out the paper! What a time-saver!)

    When you put an image into a “Library” InDesign copies the original (making a duplicate) along with the link information, if you update that file it changes in the library too. When you delete the image from InDesign the image will still be available in the Library and the link will still be retained. If you delete or move the original image on disk then you will get a missing link icon next to the object in the links panel when you place the object.

    Eugene, thanks for your response. That's exactly what I needed to know, and I believe that will keep me quite organized.

    I think I'll also package each month's issue (sans fonts) so there will be a nice clean document to “save as” for the next month's issue. Does this sound like a decent workflow for a monthly publication?

    Yes – it's good idea to do a Save As on your documents.

    I usually package any monthly publications for the next issue of the publication.

    Say for January, when I finished that publication I did a File>Package and put the package in the February folder, then I just had to rename a few files so Feb was in there instead of Jan.

    If you copy a file and re-use it there is a chance that it will become corrupt overtime.

    There is still a risk of your file becoming corrupt for lots of reasons – and this post on the Adobe forums is a good way to get the gremlins out of files that are acting funky – https://forums.adobe.com/thread/526991

    Really? Are you referring to a file that's been saved-as multiple times?

    No not a file that is saved using File>Save As, that should be fine, but you know sometimes computers go crazy and perhaps you can still get corruption this way. I have had great success and minimal file corruption over the years using either File>Save As or using the File>Package option.

    What I am referring to is how some people rehash files by copying and pasting the file into a new folder and then working on it there creating a new design etc.

    I find, it's far better to use File>Save As or File>Package

    Thanks for that clarification. I always use Save As, or Package with more complex files, and I've had the good fortune not to have had corrupted files, yet.
